BotaPlace Return & Refund Policy

At BotaPlace, customer satisfaction is at the heart of our marketplace experience. This Return & Refund Policy explains the conditions under which buyers may request a return or refund, outlines non-refundable fees, and provides clear procedures for ensuring fair resolutions for both buyers and sellers.

1. General Overview

BotaPlace connects buyers and verified sellers, providing a secure and transparent environment for trade. This policy applies to all transactions made through our platform. By purchasing an item on BotaPlace, you acknowledge that you have read, understood, and agreed to these terms.

2. Return Eligibility

Buyers may request to return an item if the following conditions are met:

  1. Return Time Frame
    • Items are eligible for return within five (5) calendar days after the date of delivery (as indicated in your order confirmation).
    • Any request submitted after this period will not be reviewed or approved.
  2. Item Condition
    • The product must remain unused, undamaged, unwashed, and returned in its original packaging, including any tags, accessories, manuals, or complimentary items.
    • Items that show visible signs of use, wear, modification, or damage after delivery will not qualify for return.
  3. Proof of Purchase
    • Every return request must include a valid Order ID or Transaction Reference Number for verification.
  4. Category Exceptions
    • Certain types of items are not eligible for return due to their nature, such as:
      • Digital or downloadable software
      • Customized, made-to-order, or perishable goods

All other item categories may qualify for return or refund, provided they meet the general eligibility conditions stated above.

3. Refund Eligibility for Undelivered Orders

If an item is not delivered by its scheduled delivery date, the buyer may qualify for a refund under the following conditions:

  1. The buyer must wait three (3) days after the scheduled delivery date before submitting a refund request.
  2. If, after three days, the item remains undelivered and no valid update has been communicated by the seller or delivery partner, a refund may be approved.
  3. Refund eligibility does not apply if the delay was caused by the buyer’s incomplete or incorrect delivery details.

4. Non-Refundable Fees

While BotaPlace aims to make refunds as fair and transparent as possible, certain costs associated with your transaction are non-refundable. These include:

  • Delivery or Shipping Fees: Delivery charges are non-refundable once delivery has been attempted or initiated.
  • Platform Service Fees: Any fees charged by BotaPlace for platform operations or maintenance are non-refundable.
  • Payment Gateway Fees (Stripe): Stripe’s transaction processing fees are non-refundable, as they are retained by the payment processor.
  • Refundable Components: The cost of the item and any applicable taxes are fully refundable once a return or refund request is approved.

5. How to Submit a Return or Refund Request

To ensure a smooth process, buyers can easily initiate a return or refund request using the following steps:

    Fill out all required details, including:
    • Order number and date of purchase
    • Product name
    • Reason for the return or refund
    • Photo or video evidence (for damaged or incorrect items)
  3. Review and Confirmation:
    After submission, your request will be reviewed by BotaPlace’s Returns and Quality Assurance Team. You will receive an acknowledgment email within 48 hours confirming receipt of your request.
  4. Return Approval:
    If approved, you’ll receive further instructions, including the seller’s return address or pickup details.
    • For pickup orders: The buyer must return the item to the seller’s shop directly. Refunds will only be processed after the seller confirms receipt and inspection.
    • For delivery orders: The return process may involve shipping.
      • If the seller shipped a wrong, damaged, or defective item, the seller will bear the return shipping cost.
      • If the buyer is at fault (e.g., changed mind or damaged the product), the buyer bears the return shipping cost.

6. Refund Process and Timeline

  1. Inspection and Validation:
    Once the returned item is received, the Quality Assurance Team inspects it within 2–4 business days.
  2. Refund Authorization:
    Upon successful validation, the refund is processed within 5–10 business days to the original payment method used at checkout.
  3. Processing Duration:
    Depending on the buyer’s bank or payment provider, the credited amount may take an additional 3–7 business days to reflect in the account.
  4. Rejected Refunds:
    If the returned item does not meet eligibility requirements (e.g., damaged, used, incomplete packaging), the refund will be declined. The buyer will be informed and may request to have the item shipped back at their own expense.

7. Damaged, Defective, or Incorrect Items

If you receive an incorrect, damaged, or defective product:

  • Immediately submit your refund request through the Refund Form.
  • Include clear photos or a short video showing the issue.
  • If verified, BotaPlace will facilitate either a replacement item or a full refund (including item cost and applicable tax).

8. Important Notes

  • Refunds will not be processed for items returned without prior approval.
  • All authorized returns must be sent to the correct seller or fulfillment address provided by BotaPlace. Unauthorized returns may be rejected.
  • Items lost or damaged in transit during return due to poor packaging or untracked courier service are the responsibility of the buyer.
  • BotaPlace reserves the right to update or revise this policy at any time, in compliance with Stripe payment standards and marketplace best practices.
